Golfmanager, the AI-Core Golf Operating System redefining how golf clubs operate, optimize, and grow, is taking another step in bringing artificial intelligence to golf with the launch of a new AI-powered phone service, developed in partnership with GolfPilot, a specialist in AI virtual receptionists for the sector.
Clubs that use Golfmanager can now add an AI Agent to their front desk, capable of answering phone calls and WhatsApp messages 24 hours a day, 365 days a year, in more than 20 languages.
But it does far more than answer questions. The AI agent can check available tee times in real time, advise on rates and make bookings directly in Golfmanager, with no need for a member of staff to step in.
That means clubs can keep serving their golfers and taking bookings even when reception is busy, the phone keeps ringing, or the clubhouse is closed.
On average, an estimated three in ten calls go unanswered, particularly at peak times, at weekends or outside a golf club’s usual opening hours.
An Assistant That Knows How Each Club Works and What Its Rules Are
Unlike a traditional phone system, which simply plays recorded messages or diverts calls, the AI agent can hold conversations with golfers and handle tasks related to the running of the course.
Its main advantage is that it is connected directly to Golfmanager and works from the club’s real, up-to-date information.
In practice, that means it never offers tee times that are already taken, and staff don’t have to enter bookings into the system afterwards.
Each club can also configure the agent to suit its own needs: rates, tee times, booking conditions, guest policies, member benefits, and even the tone it uses with customers.
Among the main things it can do:
- Book tee times: checks course availability, applies the relevant rates and records the booking directly in Golfmanager.
- Recognise members: identifies players by their phone number to offer service tailored to their profile.
- Take payments: sends payment links by WhatsApp or email to complete certain bookings.
- Answer everyday questions: provides information on opening times, prices, services, facilities and club rules.
- Share tournament information: announces upcoming events and provides sign-up links.
The service also offers additional features, such as suggesting buggy hire, golf lessons or other extras, and sending satisfaction surveys to players after their round.
The benefits of this technology are already being seen at clubs such as Club de Golf Barcelona, which handled more than 5,500 calls entirely autonomously during its first three months using this AI Agent, reducing the number of calls reaching reception by 50%.
In addition, 60% of calls are resolved in under 90 seconds, with no waiting times or staff intervention. Thanks to this solution, the club has been able to recover booking opportunities previously lost due to unanswered calls, automate tee time bookings, and streamline payments by allowing members to pay directly from their club wallet or via payment links.
“At Golfmanager, we always aim to be disruptive and give our customers the best technology. We believe AI makes sense in a club when it takes care of the repetitive, so that people can focus on what matters. With this service, no booking is lost because nobody could get to the phone, and the reception team has more time to look after the member or visitor standing in front of them,” says Daniel Sillari, CEO and co-founder of Golfmanager.
“Our job is to make the AI agent work as an extension of the club’s reception, with its rules and its way of speaking, and to work alongside the team. Working with Golfmanager means every action is reflected in the club’s software,” says Mateo Rubinstein, founder and CEO of GolfPilot.
With this service, Golfmanager continues to expand the automation capabilities of its platform and bring golf clubs AI tools that address specific business needs: serving golfers better, capturing more commercial opportunities and simplifying their teams’ day-to-day work.
