Booking Confirmation

What is a booking confirmation?

Booking confirmation is the step that finalises a Booking / Reservation, moving it from a provisional or pending state to a guaranteed one. Until this point, a reservation can usually still be released automatically — for example if a payment deadline passes — but once confirmed, the slot is locked in on both sides: the customer has a guaranteed commitment, and the club has removed that capacity from sale elsewhere.

Confirmation is typically triggered by one of a few events: successful payment through a Payment Gateway, explicit approval by club staff (common for member requests or special arrangements), or simply the expiry of a grace period without cancellation.

Why confirmation matters operationally

Without a clear confirmation step, clubs end up with an ambiguous grey zone of “maybe” bookings that make it very hard to plan resources accurately — how many buggies to prepare, how many staff to schedule, how much stock to have ready in the Pro Shop or restaurant. A clean confirmation workflow gives the operations team a reliable number to plan against, rather than an inflated figure padded with reservations that were never going to happen.

Sending confirmations that include all the practical details — arrival time, dress code, cancellation terms — reduces the volume of follow-up questions to reception.

Practical example

A golfer books a tee time online and selects “pay now.” The moment the card payment clears, the system automatically confirms the booking, locks the slot in the Tee Sheet, and emails a confirmation with a QR code the player can use for Check-in on arrival — with no receptionist involved at any point.

Can a confirmed booking still be cancelled? Yes, but it typically falls under the club’s Cancellation Policy, which may apply a fee depending on how much notice is given.

Does every booking require payment to be confirmed? No — many clubs confirm member bookings without upfront payment, since fees are settled through the Membership billing cycle instead.
