Prepayment

What is prepayment in a golf club context?

Prepayment refers to an advance payment made by a customer for a service — a tee time, a lesson, an event — before that service is actually delivered, as opposed to paying on arrival. Clubs use prepayment for a range of reasons beyond simply securing cash flow earlier: it significantly reduces No-show rates, since a customer who has already paid has a much stronger incentive to actually turn up, and it gives the club far more predictable revenue forecasting than a model built entirely on pay-on-arrival transactions.

Where prepayment is commonly required

  • Peak-demand tee times: high-season weekend slots where no-shows are especially costly to the club.
  • Group and tournament bookings: larger bookings where a no-show has a bigger operational and financial impact.
  • Online bookings from unknown customers: first-time visitors without an established relationship or payment history with the club.
  • Non-refundable promotional rates: discounted rates explicitly offered in exchange for upfront, committed payment.

Prepayment and the customer experience

Requiring prepayment isn’t free of trade-offs — some customers prefer the flexibility of paying on arrival, and an overly aggressive prepayment policy can suppress bookings from price-sensitive or spontaneous players. Successful clubs typically calibrate this carefully: reserving prepayment requirements for higher-risk or higher-value bookings, while keeping lower-stakes bookings, especially for trusted Members, on a pay-later basis.

How prepayment connects to the rest of the booking flow

Prepayment relies entirely on a smooth Payment Gateway experience — if the payment step is slow or unreliable, requiring prepayment simply becomes a barrier to booking rather than a useful commitment mechanism. Golfmanager ties prepayment rules directly to Booking Confirmation, so a booking only moves from provisional to confirmed once the required prepayment successfully clears, keeping the Tee Sheet accurate at every stage.

Practical example

A resort requires full prepayment for all Saturday morning tee times during high season, a policy that historically had the highest no-show rate. Since introducing the requirement, no-shows for that specific time slot have dropped substantially, while weekday bookings — which had a much lower no-show rate to begin with — remain on a pay-on-arrival basis to keep the booking process frictionless for regular local players.

FAQs

Is prepayment the same as a deposit? Not quite — prepayment usually refers to paying the full amount upfront, while a deposit is a partial payment with the balance due later, though clubs sometimes use the terms loosely.

Can prepayment policies vary by customer type? Yes, this is common — members are often exempt from prepayment requirements that apply to first-time or public visitors.
